Host the Ecsite Conference
Would you like to welcome the Ecsite Community to your organisation to showcase the great work you are doing? Are you planning major redevelopments or launching flagship exhibitions that you would like to present? Do you have an important milestone or anniversary to celebrate? Why not host a future Ecsite Conference and celebrate with the whole network? We are pleased to open a call to Ecsite Full members to express your interest by 15 July 2026. What is an expression of interest to host the Ecsite Conference?It is a non-binding opportunity to let us know you are interested. We ask you to submit a motivation letter telling us about your organisation, explaining why you would like to host the Ecsite Conference for 950 people and in which year. Please include a preliminary idea of location(s) for the Conference itself where you could incorporate a 1400m2 tradeshow and multiple session rooms. Let us know how many people are in your team and where you think might be great to host the Networking events. Of course, they are just ideas at this stage. Who should submit and expression of interest?We welcome submissions by an Ecsite full-member organisation or by a consortium of partners led by a full member. You must be able to host the Conference in the first half of June 2028 or 2029. What happens after the expression is submitted?We will reach out to you to arrange a call to discuss details, hear your ideas, understand pain points so we can come to a joint decision as to whether to progress to the formal application stage. We are committed to working with you to create the best possible event that will be mutually beneficial to all involved. The formal applications are then reviewed by the Ecsite board and a location is selected. Timeline
Contracting & FinancialsOnce you have been selected, we sign a contract for the organisation of the Conference. The contract also specifies the conference requirements and the financial agreement between us. From ticket sales, Ecsite contributes around EUR300.000 ex-VAT to the host who should expect to source additional funding of around EUR100.000 - 200.000 ex-VAT. About the Ecsite ConferenceThe Ecsite Conference is the flagship event of our network with a history of 30+ in-person editions. It is a friendly and approachable International science engagement Conference ideal for anyone working in or supporting the field. It happens each year at the beginning of June and is attended by over 900 participants. Participants represent a wide range of job profiles, including science communicators and educators, exhibition and programme designers, project managers, museum curators, researchers, heads of departments and senior leaders such as directors and CEOs from science centres, museums, and other science engagement organisations. The Conference offers meaningful peer learning, professional development and networking opportunities for both seasoned participants and first timers. The diverse and thought-provoking programme is created by participants through an open Call to Speak. Ecsite is committed to holding the Conference in countries that uphold fundamental human rights and provide conditions for the safe, inclusive participation of our community. The Ecsite Conference is organised by a different Ecsite member each year. Ecsite has overall responsibility for the event, notably for its format, content, ticket sales, promotion, sponsoring and the Trade Show. The Host is responsible for providing the venues, relevant equipment, catering, developing the event visual identity, designing and producing promotional materials as well as ensuring events sustainability and accessibility. Our host creates the three social event programmes (Networking Gateway, Nocturne, Farewell Party) and provides a project team and operational staff for the entire event. |
