What is #EcsiteOnline?

#EcsiteOnline is a series of meaningful, digital alternatives that enable the science engagement community to connect and collaborate virtually and was initially created to keep the community connected during the Covid-19 pandemic and the subsequent lockdowns that followed. It is composed of a mix of online resources, exchange sessions, webinars, online collaborative sessions and a digital business day.

How can I take part?

You can take part in many different ways! We have online resources to use, a series of webinars that you will be able to attend, a collaborative Ecsite day of togetherness on 11 June and a digital business day on 19 June. We will also have more opportunities for networking and collaboration when the Ecsite App becomes available, later in the year. The Ecsite day, Business day, webinars and resources are all available to the entire science engagement community and are all free to join.

Is #EcsiteOnline replacing the 2020 Ecsite Conference?

#EcsiteOnline is not a direct replacement for the Conference and we are disappointed not to be welcoming you physically to Ljubljana in June. However, we know how important learning, sharing knowledge and networking are to our community and therefore we will be holding a day of Ecsite togetherness on 11 June where we will be celebrating and meeting online.

What topics will the webinars cover?

The webinars will cover a full range of themes, all facilitated by a science engagement expert in that particular field. The webinars are held weekly, every Wednesday at 15.00 (CEST), beginning on Wednesday, 13 May and you can find a full list of all the upcoming themes on our dedicated webinar page.

Can I join? How do I sign up or take part?

Yes! All of the webinars are free to join and you don't have to be an Ecsite member! Click on the webinar series link under the overview and sign in with a personal account using the password which will be provided. You can set up a profile before the event starts, with a description and picture.

How long are the sessions?

Each session is one hour long. This hour applies to the length of time the speakers will be on screen and visible, although the chatbox function will remain live afterwards.

Is there a maximum number of participants?

No, there is no limit to the amount of people who can attend the session. Simply sign up and you're in!

Is this webinar the same as a Zoom / Skype call?

Crowdcast is not a ‘classic’ video call app such as Zoom. Your webcam and mic will not be active during the webinar, unless the speaker or Ecsite admin invite you to be visible on screen (in this case you will be expressly notified and you will have to give your approval to join).

Help! I am a bit apprehensive about using this platform to attend a webinar.

If you’ve never used Crowdcast before, it is a good idea to just take a few minutes to familiarise yourself with the site: create an account and try it out before the webinar starts, whether you are a speaker or part of the audience. Crowdcast have created their own Reference Guide for extra help and support if you wish to take a look.

What if I have technical issues during the session?

If you have any issues or doubts once connected, you can use the chatbox to ask for help. An Ecsite admin will be logged in for the express purpose of helping out those who need assistance in real-time for every webinar. If you are having trouble logging in or any other technical issue, you can email ecsiteevents@ecsite.eu for quick assistance.

How do I ask a question to the speaker?

The chatbox on the right-hand side next to the video feed is for discussion and comments during the webinar. If you want to ask a question we recommend you use the Questions & Answers tab just below the video feed. This is where you can submit any questions or leave a comment on a question. Once the host has answered the question, you will be able to view it in the answered tab. You can also upvote questions that others have submitted in agreement or to show that this is a question other attendees are interested in knowing the answer to as well.

Can I still ask questions after the session has ended?

Once the webinar is over and the video feed has ended (this is when you can re-watch the session if you wish), speakers can remain online and answer questions, either using the chatbox function, or directly on the Q&A tab.

What are the Polls for?

Polls are also a feature of these webinars. The poll option is also located in a tab below the video feed. Your host may add a poll prior to the event or during a live session, so be sure to check this area periodically and vote for your preferences. The host may add a “Call-to-action” which is simply a link to a relevant website. You will find this also in a tab under the video feed.

Can I watch previous webinars?

We will be saving all previous webinars in our archive and they will be available to watch on our website.

Are the webinars recorded?

Yes, the webinars will be recorded so that you can watch them again, or watch them at a more convenient time. As soon as the allocated time for the webinar has ended, the replay video of the whole webinar will be available in the same window and with the same link. You can stay behind and/or re-watch as many times as you like.

I have an idea for a webinar, how can I pitch it?

We are delighted that you would like to get involved! To pitch an idea, please complete this short questionnaire, giving some details about your idea and how we can best contact you if we decide to proceed with webinars in the autumn.

What is happening on 11 June?

We are holding an online day of (re)connection, stimulation and celebration, where science engagement professionals can come together, listen to speakers, take part in virtual sessions and even take part in a virtual pub quiz!

How can I register for 11 June? Do I have to pay to participate?

Registration is free for the Ecsite day on 11 June and there are no fees for taking part. Registration is coming soon!

Will there be a ‘physical’ Conference in 2021?

As things stand, all preparations are continuing for #Ecsite2021, which will be held in Stavanger, Norway, and will be hosted by Jaermuseet and the Norwegian Petroleum Museum.

I was supposed to be speaking/convening at the 2020 Ecsite Conference - what are my options?

We understand that our speakers and convenors have put in a lot of effort in preparing their sessions for the 2020 Conference. We will focus on some of these very topics in our webinars and on our Ecsite day on 11 June, as well as ensuring that we have new topics and themes which are relevant to the current global situation and Covid-19 pandemic. For those speakers and convenors who wish to take part in the 2021 Ecsite Conference and who had a pitch successfully approved, we would encourage you to re-submit your session proposals later in the year when entries open for next year's edition.

Can I still network with peers?

Yes of course! We understand how important networking can be and therefore we will be encouraging our community to join in our Ecsite day on 11 June. Ecsite will also be launching a brand new app which is specifically designed to support with networking and keeping in contact with peers.

Will the day be recorded so that I can watch it later?

Yes, all the sessions from 11 June will be recorded and available to watch again or at a more suitable time for you. Please note, the breaks and informal events such as the pub quiz will not be recorded.

What is the business day? Is this a replacement for the Business Bistro?

The business day is not an exact replacement for the Business Bistro, but it is a great opportunity to be able to showcase your products and connect with potential clients. The business day will consist of online 'booths' where you can advertise; attendees to the day will be able to browse the virtual booths and contact you directly if interested.

I had a touring exhibitions slot at the 2020 Ecsite Conference, can I still take part?

We plan to incorporate a touring exhibitions slot in the digital marketplace day; if your pitch was successful we will contact you in the coming days to discuss your availability for 19 June.

I was supposed to exhibit at a Business Bistro booth, can I still take part?

We have many opportunities available for our Business Bistro participants. Raquel da Cunha will be contacting you in the coming days in order to discuss potential plans for 19 June.

What do the resources cover?

Our Covid-19 resources are Ecsite's selection of valuable links and resources you and your organisation can make use of during the coronavirus pandemic.

Are the resources curated?

The resources are loosely curated and updated by the Ecsite office on a daily basis.
