Which kind of Action can be funded by the Collaborative Grants?

There is no specific format to be supported by the Ecsite Collaborative Grants. Anything that will help advance the field will be considered by the Selection Committee: this can go from gathering data on a particular issue to writing a book chapter about a specific topic.

When should our Action take place?

The action doesn’t have to last for a whole year; it can last only for a few months. However, it has to be completed over the timeframe of one calendar year, so between January and December of the year following the positive notification.

Applications and Selection

On which criteria will the Selection Committee make its decision?

The Selection Committee will decide based on three criteria: Relevance to the science engagement community, Width and depth of expected impacts and Robustness of project management.

How many grants will be attributed?

There is no maximum nor minimum of actions that can be supported each year by Ecsite Collaborative Grants. The committee will presumably select between one to three actions based on the eligible applications received.

How much can we ask for?

The overall budget of the Ecsite Collaborative Grants is €20 000, to be distributed amongst the selected actions. You can ask for the totality, or for just a part. The Selection Committee can decide to support only a part of your Action, resulting in granting you a smaller amount than what you asked for.

Which kind of costs are eligible?

All expenses essential to the realisation of your action are eligible. A detailed budget will be asked for your application, you can find a template on the Ecsite Collaborative Action webpage [LINK].

In which (other) ways can Ecsite contribute to our Action?

The Ecsite Collaborative Grant is mostly financial, but Ecsite can support your actions by other means if needed: Ecsite representatives coming to your events, promotion of your Action through our communication channels … There is a specific section in your application where you can indicate your potential requests.

We have an action that will perfectly correspond to what the Ecsite grants is looking for, but we don’t have the required number of Ecsite members partners. Can we or our partners apply for a membership at the same time as for the grant?

The Ecsite Collaborative Grants only support actions undertaken by at least five Ecsite members and lead by one Full member. All the members involved must be in order of payment of their membership fees at the time of the application and during the course of the action. Applications that do not fulfill this criterion will not be eligible and not be evaluated. As the membership acceptation process can take few months, it is possible that your organisation will not receive an answer on time for the Grants applications. But nothing prevents you from applying next year!

Selected Actions

Our action has been selected for the grant, what is the next step?

If your action has been selected by the Committee, congratulations! The Selection Committee might ask for adaptations before giving a final validation. Then, an agreement will be signed between Ecsite and the Full member leading the action, and you will be ready to start!

When will we get the money?

The Grant will be given at the end of the action, after assessment of a report signed by all members involved. The Selection Committee will evaluate the reports in February.

What will the assessment report consist in?

You will receive an assessment report template at the same time as your positive notification. You will have until January of the following year to send it. It will have to be coherent with what was indicated in your application.

We already received an Ecsite Collaborative Grant, can we apply for another one?

Yes, it is possible to apply for another Ecsite Grant to continue the work of your previously funded action, or to start a new one. Please be aware that no preferential treatment will be given to actions or groups previously funded.

Can we combine the Ecsite Collaborative Grants with other sources of funding?

You can of course benefit from other sources of funding, whether from third parties or Ecsite itself via another of our support mechanisms.
